Required Import Documents
In order to transport your personal effects, for customs clearance procedures, we need certain documentation. Otherwise the import procedure will take longer than in any other countries. The Customs and Cultural departments will examine carefully your shipment. Sometimes, supplementary documentation are required in order to facilitate the operation. It is necessary that you sent us the documents as soon as you can in order to avoid any delays.
- Your ORIGINAL passport and the yellow customs declaration form you get at the airport.
- Company license (copy) and registration that clearly shows your name as a registered employee. This can take various forms, either Representative office, Joint Venture (with employment contract in the case of JV.), 100% Foreign owned or Diplomatic. Must be stamped by the company on each page of photocopy.
- Letter of Authorization (draft supplied) authorizing us to act as your import agent.
- Letter of Request to Import (draft supplied). This is submitted to customs request and import permit.
- Letter to The Cultural Department (draft supplied) requesting an inspection of your goods.
- Copy of packing list if not provided. Your packing company overseas should have faxed this document.
- Your address where the goods have to be delivered. If the location is difficult, please, provide us a map with potential access problems.
Please allow up to 2 weeks for Cultural clearance of your goods.
Please note that Customs Duties are charged on Personal Effect Shipments into Vietnam. These duties are not included in moving company quotations.

Required Export Documents
To export households’ items from Vietnam, extra documentation is required for customs clearance procedures. This explains why the process can be longer. Customs in the port and the Cultural Department inspect meticulously shipments. Please provide as soon as possible the documentation listed below to help the clearance process.
Original documents relating to the importation of your goods into Vietnam. Must be included:
- A copy of the import permit.
- The ORIGINAL tax assessment papers.
- Copy of your passport showing all personal details as well as your visa(s) entries into Vietnam. This must be stamped on each page with the company stamp. Also a copy of your yellow customs form when you last came in through the airport, again stamped.
- Copy of your company license and registration showing your name as a registered employee. This must be stamped with the company stamp again on each page.
Please prepare the following documents:- Letter of authorization on your company letterhead officially stamped and signed allowing Cargoteam to act as your agent in Vietnam.
- Letter to the Cultural Department requesting inspection of you cultural items.
- Letter to Customs requesting an export permit.
- Detailed list of all items contained in your shipment (non valued). For France it must be valued.
- If insured via Cargoteam please prepare a value for your goods. If the value of chinaware, porcelain and glassware is over 10% of the total value, please advise accordingly. This is for insurance purposes only.
- Completed client questionnaire.

Restricted Import Items
- Items examined carefully: Items such as books, videos, music cassettes, CD's. Mini Discs, computer software, CD ROM's and phonograph records are scrupulously examined by the Ministry of Culture. The items with a content considered as culturally or politically sensitive to Vietnam may be confiscated or re-exported. The Ministry of Culture also inspects the disc drives of used computer CPU's. It’s a length and risky process.
- Forbidden items: Should not be sent goods such as pornography, anti-communist materials, books about the Vietnam War, foreign guidebooks on Vietnam (some information is unsuitable). Moreover, do not bring firearms, ammunition, radio transmitters, illegal drugs, satellite dishes, communication scramblers or describers. You are not allowed to import music by overseas Vietnamese groups, as result that the authorities will confiscate it.
- Penalties: A minimum 1820 US$ fine will be leaved on any items that are deemed pornographic.
- Import duties: You have to pay very high import duties for alcohol (100-150% of assigned value). You will have to pay duties even if you include alcohol in your shipment. Special licenses are required for complex color printers, not allowed in without previous approval. It’s forbidden to import the Hewlett Packard Pro 1150C. Vietnam is among the countries which charges import duties on personal effects and household goods. When re exporting, the duties paid are not refundable. A large number of employers will have to pay the import duties for their employees relocating abroad, but this added expense should be budgeted for. Customs duties are not included in moving company quotations.
- Facsimile/telephones: A special license from the post office is required to bring facsimile and telephones.
- Antiques: You should inventory precisely the antiques, with photographs if possible. You must register them upon entry otherwise you will not be able to take them out of Vietnam leaving the country. Locally purchased antiques are difficult if not impossible to take out of Vietnam legally. Items made of brass;

Moving To Vietnam

- Do not forget to contact your moving company in the country you are moving a long time before the operation begins. So that, the company will have time to inspect the items to be shipped and tell you which items can raise problems when entering. - Depending on your origin country, you will have to fill out various documents relating to moving out from that country. Consequently, the packing company will advise you. Various documents are required in to clear your shipment, so if the papers are correct initially, clearance will be easier when you get here. Do not forget to prepare a full inventory including the accurate number of items. This is for insurance purposes as well as your reference upon arrival. Please, keep on file any documents that the moving company may give you. We will need to see them upon arrival.
- As you arrive in Vietnam, your shipment is on the way. Contact us as soon as possible. Your moving company probably will have contacted us already. We will need to talk to you about the documents required for importation of your goods.
- Your shipment will be inspected by customs in the port. The inspection is quite thorough. You are more than welcome to attend. Please advise us in advance if this is the case. Your goods will be repacked. A preliminary cultural inspection will be effectuated in the port. Any items that require further inspection will be taken at a later date at the cultural department.
- All items from household goods shipments attract duty. It takes about a week from the inspection to the time the amount of duties is released. We will request money from you to pay duties and port storage charges etc. This must be paid in cash. The relevant authority officially receipts all amounts.

Exporting Your Goods From Vietnam
- Contact us well in advance. We need details in order to select the best agent in the country to cater for your needs.
- We will come directly to your house to see exactly the items to be shipped. Then we will be able to tell you, which items can raise problems and need to go to the cultural department for inspection. These are items such as items made out of certain types of wood, stone items, brass, bronze and copper items. Videos, cassette tapes, books and computer disks, any antiques whatever origin is, fresh or dried foodstuffs.
- We will advise you which documents we will need on order to clear your shipment. That is any documents that you have concerning your inbound shipment (if applicable) and any receipts you have for purchases while in. Do not forget to prepare a precise inventory for insurance purposes and for your reference.
- If you need to, we can deliver packing materials to your house. If you are not moving all the items of your house, the identification of the items not to be packed will be helpful.
- Our crew will arrive at a mutually agreed time and start packing room by room. The items, which need to be inspected, will be packed later.
- After packing, all the boxes will be put in a convenient place in your house to be picked up later and transported to our warehouse.
- At the warehouse, your shipment will be sorted, crated and loaded into lift vans.
- Before your shipment leaves, it will be brought to a customs inspection area.
- For outbound shipments, customs inspections are very complete. After inspection, your items will be repacked. The items, which are not allowed to go out, will be returned to the owner if still in the country or stored in our warehouse waiting for instructions.

Shipping Instructions
Please note. This is a simplified overview and was originally designed for agents use.
- Prepare a detailed packing list as we need to have a full list of contents to obtain an import permit. Do not label pbo.
- Do not try and conceal anything, customs inspection is at 100% and every hidden item will be found.
- Ideally only import one major electrical appliance, additional items attract additional duty or fines. It may be possible to import similar items under different names. (music centre, stereo etc.). Duty rates on electronics are 50-60% of assessed value.
- You should hand carry small items such as Walkman, video camera, etc as duties are high. Suggest these items to be hand carried to shipper as duty are less likely to be charged.
- Bring in a reasonable amount alcohol as duties on beer, wine and spirits are very high (120-150%) otherwise, you may have some complications.
- Please pack separately all cultural items. These include books, cassette tapes, videotapes, floppy discs, compact disks. The encyclopedia and world map disk have information not suitable for and will be confiscated.
- Please prepare a packing list of all antiques and fine arts. For these items, special clearance is required, so they can be noted for exporting at a later date.
- Please consign to shipper c/o the company he is employed by in. The registration of the company must be done.
- The individual who is shipping the goods must have their name on the company registration. Failure to do so will mean that the goods will not be able to be imported.
- If this is unclear please advise clients name prior to shipment leaving so we can check.
- Consign to clients actual name as written in the passport and as on the registration.
- As soon as possible, please fax all documents over for us to check if they are correct and whether there are items included which can raise problems when entry in.
- Packing lists must be written in English only.

Warehousing
We own warehouses so you can require this for a short or long time, we guarantee that your shipment (in transit or not) will be safe and secure. Our warehouse is guarded all the time and only named staff can access.
Your items would be packed in the same manner as for export at your house. It will be transported to our warehouse and loaded into special crates. We really take care of the items in our hands.
